This is an article explaining how to use the HQ+ Client Consent tool.
Acquiring client consent for communications is an essential part of modern business practice and a requirement of MAS, PDPA, and company rules and policies. It is entirely the responsibility of the agent/HQ+ user to acquire consent from their clients. For more details please refer to the HQ+ Terms and Conditions and Privacy Policy.
PRO TIP:
Before sending your client a link to the consent form, inform them privately to expect it so that they do not mistake it for a scam. This is most easily done during your sales meeting with your client or when you are in the process of onboarding them
Step 1:
In the HQ+ menu under 'TOOLS' click 'CONSENT TOOL'
Step 2:
Find the person from whom you wish to gain consent by scrolling through the list, or using the search bar.
Step 3:
You now have 4 options by which to gain consent from your client.
1 - EMAIL:
You can send the consent form link to them directly to them via email
2 - WHATSAPP:
You can send them the link directly via WhatsApp
3 - VIA DIRECT LINK:
You can copy and paste the consent form link into any form of secure digital communication for them to follow.
4 - MANUAL CONSENT:
You have gained consent directly from your client and you do not wish to send them the link.
Email Consent
Click the 'EMAIL' button next to the client you wish to get consent from.
This will open your System Email. Here you can enter an additional personal message, but we recommend that it be kept short to avoid confusion.
WhatsApp Consent
Click the 'WHATSAPP' button next to the client you wish to get consent from.
This will open your WhatsApp on your device. Here you can enter an additional personal message, but we recommend that it be kept short to avoid confusion.
Direct Link Consent
Click the 'COPY' button next to the client you wish to get consent from.
This copy the consent link so that you can paste it into what ever form of secure communication you wish to use.
Manual Consent
Click the 'MANUAL CONSENT' toggle next to the client if you have obtained consent directly from them by some other means. Read the instructions in the pop up and click 'Give Consent' to continue.
IMPORTANT NOTE: If you choose use the manual consent toggle it is ENTIRELY YOUR RESPONSIBILITY to document and safely store proof of your clients consent information and that they gave consent in full understanding of the terms and conditions.
Step4:
Once you have sent the link here is an example of the consent form that they will be sent to.
If the observe that their details are not correct they will contact you to change them. You can do this through the 'CONTACTS' tool in the HQ+ menu.
STEP 5:
To export a list of your clients to demonstrate from whom you have acquired consent, simply click the 'PRINT' button at the top of the page. This will open the print window on your device where you can select 'SAVE AS PDF' for saving and sending.
REMOVING CONSENT:
It is of vital importance if a client contacts you to remove consent you do so promptly. Simply click the blue toggle by their name and consent will be removed.
